Job Summary:

The Department of Human Resources at SUNY Downstate Health Sciences University is seeking a full-time Personnel Associate. The successful candidate will:
- Provide front desk coverage, as needed.
- Answer office telephones and responding to inquiries from internal and external customers.
- Distribute mail to DHR staff on a daily basis.
- Enter all incoming credentialing information into the DHR Joint Commission (JCAHO) database.
- Review and screen employment/credentialing documents for completeness, accuracy, and compliance with federal, state, local and University regulations, guidelines, policies and standards.
- Conduct primary sources verifications; collect and validate documents to ensure accuracy of all credentialing elements; assess completeness of information and qualifications relative to standards.
- Identify, analyze and resolve extraordinary information, discrepancies, and/or other idiosyncrasies that could adversely impact ability to credential; discovering and conveying problems to the Records Manager and/or their designee for sound decision making in accordance with institutional policies and procedures, and federal, state, and local governmental agency regulations.
- Batch and electronically file employment documents, including those relating to staff credentialing.
- Assist the Records Manager and/or their designee in ensuring that all credentials files are up-to-date in preparation for regulatory visits.
- Respond to regulatory agency audits and providing necessary documents requested.
- Process Extra Service Vouchers for payment.
- Maintain up-to-date and best practice knowledge of electronic filing and scanning procedures and guidelines.
- Communicate clearly with staff and campus leadership, as needed to provide timely responses on day-to-day issues.
- Process requisition forms for office supplies
- Assist in the development of a long-term storage strategy
- Assist in the training of employees on efficient documentation usage.
- Perform miscellaneous job-related duties, as assigned.
