Job Summary:

The Department of Neurology at SUNY Downstate Health Sciences University is seeking a full-time TH Staff Assistant 1. The successful candidate will: 

  • Provide administrative support to the Stroke Center by overseeing the day to day operations of the Stroke Center. 
  • Provide essential administrative support to the Stroke Center team by working daily with the stroke center medical director and nurse coordinator, answer phones and emails, manage records, schedule appointments (live, via Teams/zoom, telephone), meetings, and conferences.
  • Coordinate and communicate with healthcare providers of multiple specialties, including nursing and nursing administration, Emergency Medicine, Radiology, Laboratory Medicine, Internal Medicine/Hospitalists/MICU personnel, Pharmacy, Physiatry, Information Technology, and hospital administrators, including Quality, Regulatory, Compliance, Human Resources, ensuring smooth day-to-day operations and communication lines within the center.  
  • Take minutes of all meetings and the three weekly “stroke huddle” for distribution to all stroke center personnel.
  • Complete and distribute Stroke Center data, PowerPoint presentations insuring timely completion of Stroke Center requirements.
  • Prioritize the unique needs of TJC-certified advanced primary stroke center's clinical, regulatory, quality assurance, compliance, educational and administrative activities as well as stroke patients and their families.
  • Assist in the organization and dissemination (in conjunction with the Stroke Coordinator and IT personnel) of the very large amount of data generated daily (leading to over 150 data elements per stroke patient required to be entered into the national stroke centers database, within our Stroke Center with a volume currently at approximately 270 stroke patients/year). These data require entry/editing/summarizing/graphing and weekly presentation at the Stroke Center meetings that the Administrative Assistant will facilitate with the stroke center coordinator.
  • Use computer software to create spreadsheets, manage databases, and assist with preparation of presentations, reports, and documents.
  • Work with vendors to buy materials and supplies required for the Stroke Center.
  • Work closely with the all Stroke Center personnel (highly multidisciplinary) and support staff to ensure the smooth running of the administrative function within the Stroke Center as required, maintaining channels of communication and providing information to enable staff to work efficiently.
  • Present a positive image of the Stroke Center at all times by carrying out duties to a high standard and be flexible on occasion when required.
  • Manage sensitively and appropriately with all enquiries by telephone, email and in person, ensuring confidentiality is maintained as indicated. 
  • Relay telephone and personal enquiries to staff, as appropriate and take detailed, accurate messages as required.
  • Assist with Stroke Center orientation processes for new personnel and the regular updating and refreshment of knowledge including maintaining all current CPGs and HealthStream resources.
  • Be responsible for the production of all documents to a high standard within required deadlines, including letters, memos, emails, reports, and faxes.
  • Be responsible for updating records, insuring compliance requirements are maintained, and circulated to appropriate personnel.
  • Perform other job-related tasks and assignments as needed and/or required based on business need.

Required Qualifications:

  • Associate Degree.
  • 3 to 5 years of progressive work experience preferably in a medical center or health care facility.

Preferred Qualifications:

  • Bachelor's Degree preferred. 

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

SL-2

Commensurate with experience and qualifications
