Job Summary:

The Department of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Assistant / Faculty and Staff Coordinator. The successful candidate will:

  • Process and coordinate appointments, promotions, evaluations and terminations for the department's faculty and staff.
  • Maintain departmental files for all salaried and voluntary department personnel.
  • Manage and organize the departments CAPQ and alternate route committee. 
  • Perform internal and external liaison role in regard to faculty issues, tracking responses to inquiries made by Chair, Faculty and other various resources. 
  • Assist in the continued organization of the department's administrative office.
  • Perform functional relationships with all internal and external offices and departments at Downstate.  
  • Interact with the Department financial office for all financial matters. 
  • Write letters on behalf of Administrator and Chair.
  • Work closely with Department chair, chiefs, administrators and Practice Plan Manager.
  • Coordinate offer letters for new faculty members.
  • Manage internal systems to facilitate personnel payroll changes.
  • Process faculty verifications and recertification for DHSU. 
  • Work closely with administrator on all administrative issues.
  • Work closely with UHD/COM and DHP to review, prepare and submit COM and UHD budget.
  • Assist project investigators with administrative paperwork for research foundation. Coordinate Medical Board credentialing applications and reappointments.
  • Perform additional duties and responsibilities as assigned by the administrator and chairman. 
  • Perform departmental duties while working from home on approved telecommuting days. 

Required Qualifications:

  • Bachelor's Degree, OR at least 5 year of administrative experience in an academic and clinical setting.
  • Microsoft Office Suite proficiency (Outlook, Word, Excel, and PowerPoint, Access).
  • Excellent communication skills and ability to efficiently prioritize and complete workload within time constraints.
  • Or a satisfactory equivalent combination of experience, training and education to the above. 

Preferred Qualifications:

  • Familiarity with Downstate AE, BI, Oracle and Cactus system preferred.

Work Schedule:

Monday to Friday; 8:00am to 4:00pm (Full-Time)

SL-3

Salary Range:

Commensurate with experience and qualifications
