Job Summary:

The College of Nursing at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant / Undergraduate Program Assistant. The successful candidate will:

  • Create Typhon Roster for Undergraduate program:
    • Receive matriculated student list for undergraduate cohort.
    • Create individual email login credentials for undergraduate students to access Typhon.
    • Send out individual SLAP email to undergrad cohort (initial invite into Typhon System).
  • Provide Typhon Document Update:
    • Collect student files through designated email.
    • Enter expiration date for each document into individual student Typhon accounts
    • Relay information about Clinical document clearance to students.
    • Retain student documents in electronic files; made accessible to staff.
  • Create Expiration Report:
    • Each week a report is ran through Typhon to determine if any students are missing or have expired documents; from said report, emails are sent to individual students, who have missing documents and are “not cleared” for their clinical rotation.  (Adjunct professor, didactic instructor and clinical coordinator are all CC' on this email).
  • Support Accelerated BS Nursing Interviews:
    • Receive interview list and schedule from program director.
    • Contact applicants via email or phone call, schedule each applicant time.
    • Create Zoom link to each interview time.
    • Send Zoom link to each applicant and the program director.
    • Relay declination of interview/ admission to program director.
  • Conduct Committee Minutes (Admissions & ELP):
    • Take meeting minutes / record meeting on TEAMS.
    • Minutes are sent out to each committee for review.
    • Create Teams meeting link
    • Send invitation of Committee meeting to each committee member.
    • Attach agenda and previous meeting minutes to email invitation.
  • Administer Course Evaluations:
    • Create survey using Qualtrics.
    • Populate survey with each course and corresponding faculty.
    • Create QR code for each survey.
    • Distribute survey into each course Wrap- up module using Brightspace.
    • Compile each faculty/ Adjunct report.
    • Distribute report to each faculty/ adjunct member. Created a file in OneDrive for Academic Dean access only.
  • Serve as Event Coordinator:
    • Revise ceremony script.
    • Selecting an appropriate venue suitable for the type of event.
    • Monitoring activities to ensure client satisfaction.
  • Collect Student Materials:
    • Textbook distribution.
    • Ceremony pins for commencement and Anesthesia verification.
  • Conduct request for classroom space for faculty.
  • Perform additional duties as assigned or as business needs require.

Required Qualifications:

  • 2-years of work experience in an administrative capacity or equivalent experience. 
  • Excellent computer skills using Microsoft Office Suite.
  • Strong verbal, written and interpersonal communication skills.

Monday to Friday; 9:00 AM - 5:00 PM (Full-Time)

Salary Grade/Rank:

SL-2

Salary Range:

Commensurate with experience and qualifications
