Job Summary:

The Office of the Senior Vice President and Chief Administrative Officer at SUNY Downstate Health Sciences University is seeking a full-time Assistant to Vice President / Executive Assistant. The successful candidate will:

  • Interact in person, by mail, and by phone on behalf of the Senior Vice President and Chief Administrative Officer, who reports to the President and the SVP's direct reports, including:
    • Information Services, Facilities, Management & Development, Office of Planning and Policy, the Division of Comparative Medicine, the Operations Manager; and other senior leadership in Academics, the Hospital, Research, and Office of Legal Counsel, among others.
  • Ensure appropriate and timely response to communications, both verbal and written.
  • Draft and/or edit letters, memoranda, emails, reports and proposals. 
  • Organize meetings, including preparation of meeting materials, and coordinating attendees, ensuring that meeting action items are documented and executed timely.
  • Prepare and monitor annual budget expenditures, requisitions, expense reports as well as submit human resources documentation for personnel changes.
  • Ensure adequate office management including filing, ordering, maintaining office space as needed.

Required Qualifications:

  • Advanced degree in a professionally related discipline.
  • 5 to 7 years of professional experience in higher education, public sector management or campus related enterprise;
    • OR 5 years of faculty experience, two of which must be at a senior administrative level.
