Job Summary:

The Office of Graduate Medical Education (GME) at SUNY Downstate Health Sciences University is seeking a full-time Medical Education Systems Manager / Senior Staff Associate.

Reporting to GME Director and to the Associate Dean for GME/DIO, the successful candidate will:

  • Be responsible for the management of Graduate Medical Education (GME) web-based software utilized by the 50+ residency programs, Medical Students and CHRP nursing, and University Hospital Finance. 
  • Serve as institutional-level educator in software applications provided by or used with the GME Office for staff, faculty, residents, program directors and coordinators, students, CHRP and Nursing Staff, Hospital Finance Staff.
  • Liaison with all the software and systems vendors.
  • Serve as the GME liaison for technical and compliance issues.
  • Be accountable for additional specific duties of the position which include, but are not limited, to the following:
    • Provide leadership and high-level guidance to end users as the expert in GME web-based software program, New Innovations).  Serve as the institutional “super-user”
    • Oversee application integration throughout all residency training programs and affiliate hospitals, medical students and CHRP students, nursing students, occupational therapy students, Hospital Finance and configuration of components to support programmatic needs.
    • Provide comprehensive training and support through group activities.
    • Monitor end user progress in various software components/application needs.
    • Design instructional reference guide/tools/updates and evaluation instruments for all end users as needed to supplement vendor’s material.
    • Design and develop reports within software.
    • Identify and analyze potential implementation problems and perform corrective action as needed.
    • Database support to include data integrity monitoring and oversight of data uploads.
    • Coordinate software implementation with multiple hospitals.
    • Liaison between software vendor staff and GME staff that ensures system efficiency and efficacy.
    • Contribute to development and management GME’s web site and its redesign.
    • Technical management and support of other software applications (e.g. ERAS, Banner, Lawson), including coordinating with the Lawson team to ensure smooth transition in interfacing with GME Web-based software.  
    • May require travel to affiliate institutions in Brooklyn and other boroughs.
    • Management and coordination of institutional access and use of the Institute for Healthcare Improvement (IHI) Opens Schools Program for on-line education.
    • Management and coordination of institutional access and use of the AMA - GCEP e-learning modules.
    • Application of sound andragogic practices to the development of curricula and assessment tools for competency progression and achievement using new technologies. Provide consultative support to GME programs engaging in these activities.
    • Development of tools and techniques for tracking and documentation of milestones achievement by residents/fellows as required for reporting to ACGME.
    • Development of data systems to assist programs and the sponsoring institution in fulfilling documentation and reporting of data, processes, structure and outcomes as required in the ACGME Next Accreditation System.
    • Collaborate with Hospital Finance to generate appropriate IRIS reports.
    • Collaborate with Academic Affiliations Manager and Office of Planning for billing affiliates for resident effort and program expenses.
    • Participate in and support GME related faculty development and training activities.          
    • Serve as Chair the Information Technology Workgroup.
    • Participate in special projects as assigned by the Director and Associate Dean/DIO.

Required Qualifications:

  • Master's Degree or higher in Medical Education, Healthcare or Public Administration with focus on Medical Education.
  • 5+ years experience in Law, Regulatory Affairs, Administration or Education or Healthcare Administration.
  • Sound understanding of regulatory affairs, accreditation standards and methodology.
  • Familiarity with medical education processes, particularly graduate medical education.
  • Familiarity with ACGME, LCME, CMS, NYSDOH, TJC and other regulatory and accrediting agencies.
  • Work will with cross-functional teams and experientially diverse stakeholders.
  • Strong systems background including planning, studying and collecting data to determine compliance with standards and regulations.
  • Experience with quality assurance and performance improvement processes and methodology.
  • Excellent analytical skills: Analyze data collected and record results; Assess for compliance and trend changes; Identify opportunities for and approaches to improvements. 
  • Experience in higher education, preferably in an academic medical center.
  • Strong investigative skills, attention to detail, and analytical skills.
  • Works well independently.
  • Well-developed communication skills.
  • Strong skills in Microsoft Office programs especially with Excel.  Knowledge of Access or other relational data base is beneficial. 
  • Familiarity with Residency Management Systems, particularly New Innovations.
  • Familiarity with ACGME Accreditation Data System. 
  • Familiarity with other GME online and reporting systems including NRMP, ERAS, AMA FREIDA, GMETrack, IRIS reporting, etc.
