Job Summary:

The Department of Medical Education in the College of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Staff Associate / Project Manager for Assessment & Accreditation.

Reporting jointly to the Associate Dean of Assessment and the Department Administrator, the Project Manager for Assessment and Accreditation is responsible for overseeing and assuring that the logistics of administering the assessment program for the Department of Medical Education in the College of Medicine runs smoothly and efficiently. The position supervises 4 FTEs and manages these positions fairly independently. The assessment program includes assessment and grading of students as well as assessment of faculty and the curriculum. Additionally, the successful candidate will:

  • Oversee and coordinate the staff team which creates, administers, and collates grading of student examination.
  • Be present for high stakes assessment events and coordinate with Logistics Team.
  • Serve as liaison with IT regarding assessment technology issues and with outside vendors regarding questions and issues with software products.
  • Supervise the creation of assessment and grade reports as required by Grading, Promotions, and other Committees.
  • Anticipate and address issues in the student assessment process.
  • Supervise the administration, collection, and analysis of weekly, course based, and other assessments.
  • Supervise data tracking systems and analysis of dashboards and reports.
  • Develop milestone documents and full-scale project plans for each assessment type and period using available software.
  • Ensure projects meet internal expectations with respect to quality, scope, delivery time lines, and strategy. Identify, track, manage and mitigate project risks.
  • Proactively document and manage project issues and problems as they arise in order to meet process improvement goals for the next time that project needs to be completed.
  • Assemble, coordinate, direct, and support the assessment staff in the Office of Education on a daily basis, by establishing performance expectations and staff support, conducting performance reviews, and managing workflow and workloads.
  • Establish positive and productive working relationships with other offices, including the Dean's Office, Faculty Governance and CEPC, GME, Student Affairs, the Registrar, Admissions, Financial Aid, Student Life, Academic Departments in Biomedical Science and other Clinical Areas, and the respective Colleges (CHRP, Nursing, Public Health) and other external offices.
  • Participate in the preparation and management of the OED budget by the Chief of Staff.
  • Be able to manage stakeholder expectations and communicate effectively to all stakeholders, from senior management to project team members.
  • Consistently monitor and report on progress of the project to all stakeholders on a regular basis, but at least weekly with the Associate Dean of Assessment.
  • Help to determine project management best practices and serve as a resource for internal department members.
  • Lead weekly Assessment team meetings.
  • Function as support staff for LCME data collection.

Required Qualifications:

  • Bachelor’s Degree in Business Administration, Public Administration, Educational Administration or an equivalent field.  
  • 5 to 7 years of related experience in a fast-paced academic environment, including 3 years supervisory experience.
  • Excellent communication and organizational skills, with a proven track record for managing complex projects with a keen attention to detail, and a proven track record of working effectively with diverse personalities and multiple stakeholders.
  • A high level of accuracy and attention to detail as the position supports the assessment of medical students progressing through the 4-year medical education curriculum.
  • Or, a satisfactory equivalent combination of experience, education and training to the above.

Monday to Friday; 8:00am to 5:00pm (Full-Time)

Commensurate with experience and qualifications
