Job Summary:

The Department of Patient Advocacy/Patient Experience at SUNY Downstate Health Sciences University is seeking a full-time TH Staff Assistant 1. The successful candidate will:

  • Provide comprehensive administrative support, including calendar management, meeting scheduling, and coordinating departmental activities.
  • Oversee daily operations of the department, prioritizing tasks such as scheduling appointments, handling clerical referrals, and organizing meetings and events for the CXO Director and Director of Pastoral Care.
  • Coordinate travel arrangements and accommodations for CXO and pastoral care staff attending conferences and events.
  • Assist in preparing and distributing departmental materials, ensuring resources are well-organized and easily accessible.
  • Support the preparation of quarterly reports, including naming certificates and Burial Assistance authorization, and collaborate with the director, chaplains, or admitting department to ensure proper burial processes are followed.
  • Respond to patient and family inquiries and complaints in a professional manner, directing them to the appropriate personnel when needed.
  • Document patient and family complaints accurately, following complaint management processes for timely resolution.
  • Assist patients and families in locating services and scheduling appointments, maintaining privacy and confidentiality in all interactions.
  • Manage office logistics, working with other departments to streamline workflows and improve processes.
  • Prepare onboarding documents for clerics joining the team.
  • Create a Pastoral fiscal year statistical chart based on monthly data provided by clerics.
  • Reconcile P-Card usage and prepare statement summaries for submission to the appropriate department.
  • Assist in planning and executing departmental events, including Nurses Week, Pastoral Week, religious observances (e.g., Ash Wednesday, Lighting of the Menorah, Ramadan), the Annual Health Fair, Bible Blitz, Employee Wellness Fairs, and other workshops as needed.
  • Perform additional tasks as assigned by department leadership, including special projects and emergency support during peak times.

Required Qualifications:

  • Associate’s Degree.
  • 2+ years of related experience
  • Excellent interpersonal, verbal and written communication skills.
  • Proficient with MS Office (Outlook, Word, Power Point and Excel).
  • Or a satisfactory combination of education, training and experience equivalent to the aforementioned. 

Preferred Qualifications:

  • Prior experience in a healthcare setting preferred.
  • Bilingual in Spanish and/or Haitian Creole languages preferred.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

Commensurate with experience and qualifications
