Job Summary:

The Department of Otolaryngology at SUNY Downstate Health Sciences University is seeking a full-time Residency Program Coordinator / Senior Staff Assistant. The successful candidate will:

Assist with Residency Program Administration:

  • Maintain and update residency program flies and records. Manage resident schedules, rotations, and assignments.
  • Coordinate all aspects of residency recruitment, including application processing and interviews.
  • Assist with the planning and execution of orientation, graduation, and other program events.
  • Coordinate Continuing Medical Education (CME} activities for the department including grand rounds scheduling, head and neck tumor board conference and annual research conferences
  • Distribute the resident and attending on-call schedule
  • Help coordinate the annual department committees including program evaluation committee (PEC}, clinical competency committee (CCC) and planning of the annual departmental retreat

Assist with Accreditation and Compliance:

  • Ensure compliance with Accreditation Council for Graduate Medical Education (ACGME} requirements. Prepare and maintain accreditation documentation and reports.
  • Support the Program Director in monitoring resident progress and performance.
  • Communication and liaison: Serve as the primary point of contact for residents, faculty, and external partners.
  • Communicate program policies, procedures, and updates to all stakeholders.
  • Assist In the development and dissemination of program materials and announcements.

Assist with Medical Student Education:

  • Work with the Clerkship Director to distribute schedules to 3rd and 4th year medical students rotating on the otolaryngology service.
  • Oversee orientation for students rotating on the service and ensure collection of end of rotation grades from faculty.

Required Qualifications:

  • Bachelor's Degree in Healthcare Administration, Education, or a related field.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and residency management software.

Preferred Qualifications:

  • Previous experience in a similar role within a medical education setting is preferred.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

Salary Grade/Rank:

SL-3

Salary Range:

Commensurate with experience and qualifications
