Job Summary:

The Department of Hospital Finance at SUNY Downstate Health Sciences University is seeking a full-time Supply Chain Contract Coordinator/Manager.

The Contract Coordinator plays a crucial role in the supply chain operations, focusing on efficient contract management and administration. This position is responsible for managing the Cobblestone contract management system, overseeing all Group Purchasing Organizations (GPO) contracts, managing local contract expirations and renewals. This role will assist both the department head (reports to Value Analysis Director) and Procurement in the preparation and renewal of contracts. The coordinator ensures that contract processes align with organizational goals, emphasizing patient quality, cost-effectiveness and operational efficiency. Working collaboratively with various departments, the role demands strong organizational skills and attention to detail, essential for maintaining effective and streamlined contract operations.

Principle Duties and Responsibilities

Supervisory Responsibilities:

  • The Contract Coordinator is primarily responsible for overseeing the contract management process and does not have direct supervisory responsibilities over a team. However, this role involves significant collaboration with various departmental teams and may require leading cross­ functional project groups or committees related to contract management. The coordinator may also guide and support colleagues in understanding and adhering to contract procedures and policies, ensuring effective and efficient contract operations within the organization.

Contract Management and Operations:

  • Manages the daily operations of the Cobblestone contract management system, ensuring efficient workflow, loading required data elements and adherence to procedure for proper loading.
  • Works closely with GPO's and meets at least monthly to identify and recommend contracts for activation, tier change or renewal. Completes analysis of different contracts and provides recommendation to Director.
  • Works with Procurement, suppliers or department heads to create contracts that meet the needs of the organization.
  • Collaborates with departmental leaders to facilitate the contract origination and renewal process, aligning with organizational procurement procedures.
  • Oversees the contract lifecycle for SUNY Downstate Medical Centre, coordinating renewal timelines and leading the request for proposal (RFP) process in collaboration with Procurement and departmental leaders.
  • Analyzes and refines contract management processes to enhance effectiveness, efficiency, and compliance with organizational goals and regulatory requirements.
  • Monitors and reports key metrics related to contract management, including process improvements and efficiency gains.
  • Maintains up-to-date knowledge of relevant regulations and policies affecting contract management and supply chain operations, ensuring compliance and seeking guidance as needed.
  • Acts as a liaison between departments, internal stakeholders, and vendors to address and resolve contract-related issues.
  • Loads contracts into Cobblestone and manages the loading of GPO contracts.

Vendor and Stakeholder Collaboration:

  • Directly Works closely with GPO leadership to ensure alignment with contractual requirements and organizational objectives.
  • Engages with GPO to maximize contract compliance and benefits.
  • Builds and maintains relationships with vendors, negotiating terms and managing contract execution and adherence.
  • Collaborates with internal teams to ensure that contractual commitments are understood and met, facilitating communication and problem-solving.
  • Works with Director of Logistics on supplier performance key performance indicators and supply chain sustainability.

Supply Chain Support and Integration:

  • Assists in integrating contract management with broader supply chain initiatives, ensuring a cohesive approach to procurement and vendor relations.
  • Supports the implementation of supply chain strategies, focusing on contract management as a key component of operational efficiency.
  • Provides input on supply chain systems and processes, emphasizing the role of effective contract management in overall supply chain performance.
  • Participates in continuous improvement initiatives within the supply chain, contributing insights from a contract management perspective.
  • Responsible for the request for proposal process for the hospital initiatives. Works closely with the department heads and guides them in preparation of appropriate market testing.

Required Qualifications:

  • Bachelor's Degree in Industrial Engineering, Business Administration, Supply Chain Management, or a related field, or an equivalent combination of education and experience in a similar role.

Preferred Qualifications:

  • Master's Degree in a similar background.
  • Certification in contract management (e.g., Certified Commercial Contracts Manager (CCCM), Certified Professional Contracts Manager (CPCM)) is highly preferred.
  • Additional certifications in supply chain management (e.g., CMRP, CSCMP, APICS) would be advantageous.
  • Proficiency in contract management software (e.g., Cobblestone or Meditrac) and Microsoft Office Suite, especially Excel and PowerPoint, is desired.
  • Skills iii project management software and an understanding of procurement processes will be beneficial.
  • 2+ years of experience in contract management or supply chain coordination, preferably in a healthcare setting.
  • Familiarity with contract management software (e.g., Cobblestone) and Premier/Vizient Management systems.
  • Experience with contract business terms and performance criteria.
  • Experience with procurement processes and vendor relations in healthcare supply chains.
  • Experience in working with Group Purchasing Organizations (GPOs) in the healthcare sector is a plus.
  • Proficiency in ERP systems relevant to supply chain and contract management.
  • Strong skills in data analysis, project management, and effective communication.
  • Ability to work collaboratively in a matrix organizational structure.
  • Excellent problem-solving and analytical skills.

Work Schedule:

Variable Days; 9:00am to 5:00pm (Full-Time)
