Job Summary:

The Department of Surgery at SUNY Downstate Health Sciences University is seeking a full-time Residency Coordinator / Senior Staff Assistant. Under the direction of the Administrative Director of Medical Education, the successful candidate will:

  • Play a pivotal role in the management of the residency program and integral member of the residency program’s leadership team.
  • Be the first point of contact for the prospective applications, professional organizations, institutional GME and anyone else needing information or assistant in the residency program.
  • Be responsible for the day-to-day administration of the residency training program.
  • Assist the Program Director (PD) in developing and maintaining the educational quality of the training program and ensuring compliance with ACGME accreditation standards and other regulatory requirements.
  • Function as a liaison between the PD, trainees, GME office participating sites, and other departments.
  • Be knowledgeable about patient care/operational activities at the various training sites in which their trainees rotate.

Additional responsibilities include but are not limited to:

  • Semi-annual resident reviews, data collection and maintenance of documentation required for accreditation, recruitment appointment/credentialing, budgeting/payroll.
  • Manage the day-to-day operations of the residency program.
  • Recognize and understand the policies implemented regarding General Surgery Residency Training from both ACGME and the American Board of Surgery (ABS).
  • Oversees the residency program daily activities, collaborates in the development and implementation of operational policies, procedures and standards.
  • Establish and ensure residency program goals and objectives are accomplished.
  • Collaborate with the Residency Program Director in the development of the strategic planning of the residency program.
  • Organize and prioritize the daily activities of the residency program staff, monitors work progress status and ensures compliance with deadlines.
  • Troubleshoot discrepancies and determines appropriate corrective actions to be taken.
  • Serve as contact person for the interpretation of policies, operational procedures and residency program guidelines.
  • Coordinate all aspects of the resident/fellow interview process including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments and ensuring applicant credentials are following current guidelines.
  • Provide administrative oversight for the residency program and meets the secretarial needs of the programs as required. This includes but is not limited to the following:
    • handling inquires, sorting correspondence, setting up folders, maintaining residency program files in accordance with records retention schedules, assisting in requests for verification of residency training, and maintaining calendar of applicant appointments and meetings.
  • Maintain and monitor records of resident/fellow attendance for all required educational activities, including conferences and other didactic experiences.
  • Maintain the residency curriculum, including competency-based goals and objectives for each assignment and each level of training.
  • Create and edit departmental residency training manual.

Required Qualifications:

  • 1 to 3 years of experience in medical education administration.
  • Obtain C-TAGME certification within 2-years of hire.
  • Knowledge of accreditation guidelines.
  • Strong organizational and interpersonal skills.
  • Strong critical thinking skills.
  • Ability to manage multiple projects at one time with excellent management skills. 
  • Ability to work independently and collaboratively.

Preferred Qualifications:

  • Bachelor's Degree.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

SL-3

Salary Range:

Commensurate with experience and qualifications
