Job Summary:

The School of Public Health at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Assistant / Professional Development Coordinator. The successful candidate will:

  • Assist MHA students with resume preparation and editing, support student course selection, provide career counseling, and support planning, implementation, and documentation of career development workshops and other professional development opportunities.
  • Support development and maintenance of relationships with community organizations and other agencies that may serve as placements for the MHA Capstone, including:
  • Organize Capstone information sessions for community partners/potential Capstone preceptors and mentors.
  • Ensuring that all required legal documentation and the Statement of Mutual Expectations are signed by appropriate parties and filed.
  • Coordinate routine data gathering from our community partners and external constituents (employers) through Capstone preceptor evaluation surveys and other methods of data collection. 
  • Coordinate the availability of placements with the MPH APEX Coordinator to facilitate joint announcements across both databases where applicable and of interest to the Site Preceptor. 
  • Attend networking events, community listening sessions and town halls co-planned and co-led with our community partners.
  • Communicate placement opportunities for MHA students • Hold MHA Capstone information sessions for students.
  • Develop routine outreach and communication strategies for current students, including offerings of MHA Capstone opportunities.
  • Create and maintain a database/directory of MHA Capstone, in coordination with the MPH APEX placement database.
  • Provide ongoing support for MHA and MPH HCA students completing their Capstone and APEX, including:
  • Develop and manage a MHA Capstone Portfolio to facilitate tracking and receipt of all required Capstone forms and work products for each student
  • Support MHA faculty and Director in providing guidance to students in selecting a Capstone project. 
  • Manage Brightspace course sites for the Capstone.
  • Schedule and participate in Capstone check-out meetings with students.
  • Attend regular meetings, trainings, and other position-relevant events identified and coordinated by the SPH Senior Executive Director for Administration and Finance and support ongoing communication between the MHA Director and the Senior Executive Director for Administration and Finance.
  • Collect and submit accreditation documents related to the Capstone to the Chair of the SPH Committee on Evidence Inventory, including final approved MHA Capstone projects and completed and signed MHA Capstone forms.
  • Support ongoing communication and coordination of activities associated with the MHA Capstone with relevant SPH leadership, including the Chair of the HPMG Department, the MPH Community Partnerships Manager / APEX Coordinator, the Associate Dean for Education, and the Assistant Dean for Student Affairs.

Required Qualifications:

  • Bachelor’s Degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of healthcare career development and counseling, report analysis, writing, and promotion/outreach.  
  • Good communication skills and computer literacy.  
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and the ability to learn new software as needed.
  • Strong organizational skills and ability to efficiently prioritize and complete workload within time constraints.
  • Proven meticulous attention to detail and solid judgment.
  • Proficiency in managing Brightspace and other online learning programs.
  • Ability to coordinate and organize multiple activities requiring varying and often competing deadlines.
  • Professionalism and tact for interaction with researchers and staff at various project sites. Demonstrated organizational and administrative skills.

Preferred Qualifications:

  • Master's Degree in Healthcare Administration (or a related field).
  • Prior experience in offering career development and counselling to students in academic settings. including networking, resume creation, and job placement, preferably within the healthcare environment.

Work Schedule:

Monday to Friday; Variable Hours (Full-Time)
