Job Summary:

The Department of Administrative Services at SUNY Downstate Health Sciences University is seeking a full time Deputy Director, Administrative Services / Inventory Control Manager. The successful candidate will:

  • Manage the daily operations of Central Receiving, Central Stores, Mail Services and Copy Center, reassigning staff between units to balance daily operational needs.
  • Manage the financial process, preparing and processing all monthly sales reports and Journal Transfers to campus Accounting office for upload to SUNY accounting system, and reconcile discrepancies. Monitor and follow-up on payment of sales to non-state entities (invoice and accounts receivable functions) to adhere to the planned budget, and manage data for reporting and projection of future budgetary needs and workload statistics.
  • Monitor various State and non-state department(s) recharge process for goods and services provided by the department via a computerize data base system to ensure accuracy in applying the correct recharges to the right account in a timely manner.
  • Resolve customer service matters that have escalated from subordinate staff involving the daily work flow of goods and services received, recorded, processed and delivered to the various departments on and off campus. To ensure efficiency in time and motion of Receiving, Recording, Storing and Delivery of goods and services to the institution to resolve supply chain bottlenecks.
  • Develop and implement department policies, procedures, and training program for the staff.
  • Maintain perpetual Inventory Controls of Central Stores supplies purchased (within all State regulations), stored, and issued to user departments.
  • Prepare the department’s annual budget with input from subordinate staff and Director approval.
  • Establish an ongoing maintenance/service program for equipment in the department. To provide reliable and safe equipment for the department’s use, and to increase productivity where possible.

Required Qualifications:

  • Bachelor’s degree
  • 5+ years of hands on experience in the materials management supply chain and inventory control of a large educational or hospital organization with the following skills:
    • Logistical/supply chain management skills
    • Supervisory skills
    • Principles of general accounting skills
    • Effective oral and written skills
    • Effective computer skills
    • Effective analytical skills

Preferred Qualifications:

 

Work Schedule:

Monday to Friday; 8:30 am to 5:00 pm

Salary Grade/Rank:

SL-4

Salary Range:

Commensurate with experience and qualifications
