Job Summary:

The Department of Human Resources at SUNY Downstate Health Sciences University is seeking a full-time Personnel Assistant / HR Employment Coordinator.

The Human Resources Employment Coordinator will be responsible for supporting Human Resources efforts with an emphasis on the functional areas of HR compliance, processing employment transactions and management of employee personnel files.

Duties and Responsibilities Include:

  • Serve as the liaison between the Department of Human Resources and the Office of University Counsel regarding subpoenas, FOIL requests, etc.
  • Process all verification of employment letters (VOE), PSLF forms, etc. and/or forward requests to appropriate department for processing
  • Manage and process requests for personnel file review from employees
  • Establish records retention and destruction schedules in conformance with legal guidelines and professional practices
  • Prepare and submit retention schedules and records destruction request
  • Contributes to the day to day activities of the office
  • Greet visitors and serve as an in-house resource person by handling inquires/locating information and making referrals
  • Prioritizing and managing workload to meet critical deadlines
  • Assist in the processing of paid and unpaid transactions for professional and classified transactions into the HR systems
  • Assist with the license and certification verifications from applicable sights (e.g., NYS Office of Professions), collect relevant supporting documents from employees based on minimum qualifications for employee position, and enter into personnel file and HRIS system as needed
  • Track expiring employee licensure by running monthly reports and updating records with current information
  • Assist in ensuring all credentials files are up-to-date in preparation for regulatory visits and follow-up with key stakeholders as necessary
  • Assist in tracking annual in-service mandatory training for employees and following-up on any overdue AME
  • Assist with probationary reports are being submitted for applicable employees and provide letters to employees once probationary period completed
  • Track and record medical clearances from Employee Health Services (EHS); follow-up on expired medical clearances
  • Assist with processing and maintaining of Compliance with a high level of confidentiality at all times
  • Participating in regulatory, accreditation, and mock surveys (i.e. JCAHO, DOH, CMS, CAP, OMH, EMTALA, ESRD, etc.) if applicable Maintaining accuracy and integrity of employee data in HR system of record
  • Support other HR staff and may perform specific tasks in the absence of others including fielding/directing HR related questions
  • Conducts quality assurance reviews of relevant documents to ensure accuracy, completeness, and compliance (with federal, state, local, and university regulations/guidelines) as applicable
  • Ensuring all relevant HR practices and policies are being followed
  • Resolve employee and business queries and escalate issues appropriately as needed
  • Work to provide excellent customer service to members of the organization at all levels
  • Perform accurate and timely completion, delivery, and communication of assignments
  • Works on Human Resources Special Projects as needed
  • Other duties and responsibilities as required

Required Qualifications:

  • Associate's Degree
  • 1+ year of professional work experience in an administrative role, preferably in higher education or the public sector
  • Or a satisfactory equivalent of education, training and/or experience to above

Preferred Qualifications:

  • Experience in a Government Agency, University, and/or Hospital setting
  • Certifications or membership in Society for Human Resources Management, American Staffing Association, or similar
  • Excellent written and verbal communication skills and emotional intelligence
  • Must be detail oriented
  • Must have strong analytical and organizational
  • Must be able to work independently and work well in a team environment

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

Salary Grade/Rank:

MP-6

Salary Range:

Commensurate with experience and qualifications

  • $55,000 to $65,000 Total Annual Salary
