Job Summary:

The Scientific Medical Instrumentation Center (SMIC) at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant I. The successful candidate will:

  • Perform all staff assistant responsibilities, correspondence, filing, data entry, meeting minutes, etc., for the Director, and Associate Director.
  • Act as first response to inquiries about the department and receptionist for visitors to the department.
  • Interface with clinical staff and/or equipment users by intaking equipment and delivering repaired equipment.
  • Assist in shipping and receiving of medical equipment, initiate product exchange with manufacturers and vendor.
  • Maintain and organize inventory of medical parts, cables, and reorder stock level.
  • Interface with vendors, suppliers, and hospital personnel in the processing and tracking of department requisitions covering parts and supplies needed in equipment maintains for University Hospital of Brooklyn (UHB) medical devices.
  • Type, edit and maintain the highly technical preventive maintenance and contract files for SMIC's Associate Director on St. Croix, essential to the maintenance of medical CNL memos, recharges, and p-card reconciliation documents.
  • Coordinate and schedule meetings external to the department as required, as well as calendaring internal departmental meetings and seminar attendance.
  • Arrange travel itinerary and prepares appropriate documentation as required.
  • Maintain library of all publication/documentation/reports/policies and procedures received and or initiated by the department and ensures updates/renewals as required on the SMIC website.
  • Enter data as required on the SMIC website.
  • Enter data as required to UHB's computerized inventory and history files system.
  • Maintain and secure personally assigned tools and supplies; ensure safe and orderly and clean work areas.
  • Adhere to the SUNY Downstate Medical Center University Hospital of Brooklyn principles of behavior. 

Required Qualifications:

  • Associate of Applied Science Degree with 3+ years of relevant experience in a supervisory/administrative biomedical capacity;
    • OR a Bachelor's Degree with 1+ years of experience in a supervisory/administrative biomedical capacity.

Monday to Friday; 8:00am to 4:00pm (Full-Time)

Commensurate with experience and qualifications
