Job Summary:

The Department of Infectious Diseases at SUNY Downstate Health Sciences University is seeking a full-time Infectious Diseases Division Administrator & Program Coordinator. The successful candidate will:

  • Coordinate the day-to-day operations of the division.
  • Perform long term planning for ongoing divisional growth and progress.
  • Prepare and coordinate all reports and surveys for the division and assist in the preparation of Joint Commission regulatory inspections.
  • Supervise and coordinate all matters related to the Fellowship Program, including schedules and evaluations.
  • Oversee the two infectious diseases elective courses for fourth year medical students.
  • Schedule student evaluations and any necessary correspondence for medical students and those residents from the Department of Medicine and outside residency programs who are participating.
  • Organize and coordinate continuing medical education teaching conferences for faculty and fellows, and interact with the CME office, to provide the appropriate forms and applications ensuring the division receives CME credit annually for conferences. 
  • Order supplies for use in academic and clinical capacities for the Infectious Diseases Division.
  • Maintain financial records regarding extramural support, and interact with the HSCB Foundation, Research Foundation, and the Department of Finance.
  • Answer the main telephone extension for the division with continuous incoming calls, requesting to be connected to the various faculty members, fellows and requests for patient consultations. 
  • Type confidential correspondence, submission of forms, abstracts and informed consents for submission of research to the IRB, and the preparation of research manuscripts. 

Required Qualifications:

  • Associate's Degree.
  • 3+ years of work experience in an administrative clinical setting.
  • Strong computer skills, including Microsoft Office (Access, PowerPoint, Excel, Word, and Outlook).

Preferred Qualifications:

  • Bachelor's Degree preferred.
  • Familiarity with hospital systems, such as Eagle, Athena, Ingenious MD, and Cerner highly preferred. 

Work Schedule:

Monday to Friday; 9:00am to 5:00pm

Salary Grade/Rank:

SL-1

Salary Range:

Commensurate with experience and qualifications
