Job Summary:

The Department of Residential Life and Services at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant, Housing Operations. The successful candidate will:
- Use computer and word processing programs, database applications, desktop publishing, conducts filing, office correspondence, reports and memos; administers daily office systems.
- Supervise and schedule Student Assistants and Federal Work Study staff for the office.
- Prepare documents pertaining to hiring and termination for submission to human resources.
- Assist with the coordination of opening, closing, special events, and summer conferences and summer housing procedures.
- Track building occupancy billing, including transient housing, using Banner software; generate occupancy/vacancy reports weekly.
- Oversee mail distribution process for residents and the office, ensuring the effectiveness and accuracy of mail and parcel services.
- Complete monthly inventory of all office supplies and borrowed items; prepare and submit purchase requisitions for replacement of supplies.
- Within a 24-hour timeline, complete administrative assignments as requested by the Director, including typing memos, taking and typing meeting minutes, generating reports related to all departmental operations.
