Job Summary:

The Department of Orthopaedic Surgery and Rehabilitation Medicine at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant. The successful candidate will:

  • Perform division-level administrative support, liaison, office coordination, lead direction, word processing and file maintenance duties (resident, staff, and faculty). 
  • Work directly with the Program Director.
  • Assist in the coordination of actives related to recruitment of new residents. 
  • Oversee the following electronic databases: ACGME, NRMP, ERAS, New Innovations, and other Graduate Medical Education databases, as required.
  • Coordinate the educational functions of the Orthopaedic Surgery Residency Program, including the timely dissemination of information and documentation, which is necessary for the efficient operation of the training program. 
  • Coordinate program director/resident semi-annual and final meetings.
  • Coordinate ACGME site visit preparation activities. 
  • Coordinate IPRO site visits.
  • Coordinate conference and other educational travel arrangements. 
  • Conduct educational grant preparation and submission.
  • Coordinate all graduation function/activities.
  • Submit GME documents in a timely manner to include, payroll rosters, appointment and termination forms, etc.
  • Review and manage IFR accounts.
  • Prepare resident training verifications.
  • Assist in the preparation of daily, weekly, monthly, and annual reports related to Graduate Medical Education.
  • Assist in all aspects of the department's Continuing Medical Education activities, such as Grand Rounds.
  • Assist in the administration of the residency program and department operation, ensuring adherence to university policies and procedures, ACGME and DOH guidelines and regulations.
  • Assist in the development and implementation of daily schedules, monthly calendars, call schedules, and yearly rotation schedules.
  • Schedule and coordinate meetings and conference room use; order food, reserve space, and send meeting notifications.
  • Perform other work as assigned and as business needs warrant. 

Required Qualifications:

  • College Degree.
  • 2+ years of related work experience in an academic medical setting.
  • Good interpersonal and communication skills.
  • Excellent organizational and attention to detail skills.
  • Ability to work independently and complete assignments thoroughly.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm

SL-2

Salary Range:

Commensurate with experience and qualifications
