Job Summary:

The Department of Accounts Payable at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant. The successful candidate will:

  • Perform all duties associated with vendor accounts, including opening mail, review all invoices for appropriate documentation, approval, receipts and coding prior to processing the voucher entry.
  • Manage the invoices in the database and keep the database updated with the current information on each of the outstanding invoices.
  • Process employee reimbursements/awards/stipends, etc. in accordance with the established policies and procedures.
  • Process monthly procurement and travel card reconciliations in accordance with appropriate established policies and procedures.
  • Scan, maintain, and retrieve electronic voucher files, as directed.
  • Reconcile vendor statements, research, and settle vendor discrepancies.
  • Ensure all internal controls policies and procedures are adhered to.
  • Provide excellent customer service to both internal and external customers.
  • Interact with various office administrators/end-users and procurement staff, as well as SUNY Administration and representatives from the Office of the State Comptroller.
  • Participate in continuous process improvement efforts to support current and future enhancements.
  • Assist with all other projects and duties as assigned by management.

Required Qualifications:

  • 3 to 6 years of work experience in accounts payable or comparable experience, preferably in a healthcare or university environment.
  • Ability to multi-task and be able to work using multiple systems.
  • Ability to work in a team environment and communicate effectively with all levels of the organization.
  • Strong interpersonal skills, with writing ability and analytic capability are required.
  • Proficient with Microsoft Office Suite, and electronic database systems is necessary.

Preferred Qualifications:

  • Bachelor’s Degree preferred.
  • Experience working with Lawson is preferred.
  • Working knowledge of New York State finance law is preferred.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm

Salary Grade/Rank:

SL-2

Salary Range:

Commensurate with experience and qualifications
