Job Summary:

The Department of Orthopedic Surgery and Rehabilitation Medicine at SUNY Downstate Health Sciences University is seeking a full-time Director of Outpatient Operations. The incumbent will report to the Executive Administrator of the department, who is the business partner to the Chairman of the department. In addition, the successful candidate will: 

  • Be responsible for the oversight and management of outpatient operations in multiple clinical office settings.
  • Be responsible for hiring, training, supervision, and evaluation of all clerical, front desk, and clinical support staff.
  • Maintain personnel records and developing, monitoring, and revising job descriptions and performance plans for office staff as necessary; will oversee approximately 25 staff members. 
  • Oversee the creation of patient appointments, scheduling, billing, data and information maintenance, patient relations, and clinic flow. 
  • Develop short and long-term strategies and goals for the department's outpatient operations and regularly measures the extent (via Excel and EHR data pulls and reports, among other methods) to which goals and objectives are achieved. Uses analytical and creative problem solving to help achieve goals and objectives.
  • Maintain personnel records and conducts performance analyses and evaluations in conformance with policies and procedures.
  • Be responsible for maximizing the efficiency of clinic visits and patient flow, all while maintaining high professional standards, supporting compassionate care and trying to optimize the patient experience. Lean Six Sigma principles will be helpful in many of these efforts.
  • Oversee billing operations and ensures that records are up-to-date and accurate.
  • Monitor physician productivity and billing for the outpatient practice(s); works with providers to enhance productivity and improve collections; develops and maintains billing and collection procedures to ensure accuracy and to maximize collections and revenue; leads billing staff to maximize revenue.
  • Coordinate managed care activities and devises program changes and developments to solve problems.
  • Compile, analyze, and forecast practice performance data and statistics; regularly creates and summarizes operational and financial reports from a variety of sources.
  • Maintain established departmental policies and procedures, objective quality assurance efforts, and safety, environmental, and standards.

Required Qualifications:

  • Bachelor's Degree required.
  • 5+ years of experience in a supervisory/administrative capacity in a multi-specialty healthcare system with multiple care sites.
  • Proficiency in data analysis, forecasting, and strategic implementation.
  • Proficiency with multiple EHR and data platforms. 

Preferred Qualifications:

  • Master's Degree in healthcare management preferred.
  • Lean Six Sigma experience preferred.

Work Schedule:

Monday to Friday; 7:30am to 4:00pm

SL-3

Commensurate with experience and qualifications
